Setting Up A Fleet Account (CO)

Determine what type of account to create

• Before you create your fleet account, you want to determine how the account will be charged

Pay as you go

• Start at Create the Special Pricing Rule section

• Then move to the Create the Account's Customer Record Special Section

Monthly Unlimited

• Start at Monthly Multiple Vehicle Charges section

• Then move to the Create the Account's Customer Record Monthly section

• Log in to cwa: https://washifyapi.com:1000

Create the Special Pricing Rule

• 1) Navigate to Discounts -> Manage Special Pricing

• 2) Click ADD Pricing

• 3) Enter the Fleet plan name (Ex: XYZA- Fleet Account (where xyza is the account number)

• 4) Leave Apply Special Pricing for Unlimited unselected.

• 5) Click Save

• 6) Navigate back to the Discounts -> Manage Special Pricing page

• 7) Find the special pricing rule you created, click the three dots (Right Side) and click View Services.

• 8) Select the ADD Service button in the top right.

• 9) Select the service that you would like to be discounted for this account.

• 10) Enter the discount amount for that service.

• 11) Click Save

Steps

• 1) Navigate to the CWA

• 2) Go to Service -> Manage Services

• 3) Click Add New Service

4) Setup the service with the following configuration

• A) Service Category: Unlimited (Fleet)

• B) Service name: Account#-WashType-Price (EX: 5029-Polish & Shine-$16)

• C) Price: The Monthly agreed amount (Note: The minimum price is $0.01 because Washify does not support $0 auth.) (EX: Price will be set to $16.)

• E) Service Settings - Display On: None

E) Service Plan

• Recurring or Unlimited Service: Checked.

• ~Recurring- if you selected recurring, the vehicle will be charged every month after the date they were signed up. This means that vehicles added on future dates may not have their recharge dates aligned with the initial import group.

• ~ Prepaid- If you selected prepaid, the customer will be able to wash for a predefined period of time, after which their card will be recharged.

• F) Locations- Set all locations to active

• G) Multiple Month Discount- If applicable, assign here.

Steps

• 1) Go to Customers -> Manage Customers

• 2) Click ADD Customer (top right)

• A) First Name should be Account #.

• B) Last Name should be the fleet account name

• C) Add location (allows one location) ~IF you don't add a location and you're using your personal account, the account record will disappear after saving and will require admin privileges to assign a location to the account.

• D) Fill in the rest of the details (if applicable)

• 3) Navigate to the Settings tab for the new customer.

• A) Select the following options

• ~Special Pricing (Skip if account isn't pay as you go) Make sure to select your special pricing rule with the same name as the account.

• ~Allow Invoicing

• ~Select any other applicable options.

• 4) Click Save

• 5) Navigate to the Payment Info tab.

• 6) Select Credit Card or ACH

• ~When filling out this info, location can be assigned to a specific site if desired. Default would be Cobblestone Corporate Office.

• 7) Select Save Payment Method

• 8) Navigate to the Vehicles Tab.

• A) Click ADD Vehicle

• B) Enter Details

• C) Click SAVE AND ASSIGN

• D) Select the appropriate Service type

• E) Add the Service you created earlier: (EX: 5029-Polish & Shine-$16)

• F) Click Assign

• G) Repeat for each vehicle associated with the account.

• 9) Click Save

Steps

• 1) Go to Customers -> Manage Customers

• 2) Click ADD Customer (top right)

• A) First name should be Account #

• B) Last name should be the fleet account name.
