Writing Maintenance Procedures

Required PPE

• Include any PPE that is required based on the location in the plant where the maintenance takes place and PPE that is required based on any hazardous materials that are needed for the maintenance.

Required Tools

• The tools section should include normal and specialized tools that will be needed for the maintenance. Try to be specific as possible. Required sizes for things like wrenches should be included if known, however, if the maintenance includes many different sizes, a general term like "socket set" or "wrench set" may be used.

Required Parts

• The parts section should include all required replacement parts. For maintenance tasks that are "inspections and replace as necessary", include the part to ensure that a replacement is on hand prior to conducting the inspection. For inspections that are used to determine if further repairs are needed, you do not need to include replacement parts.

This checklist provides more information for the procedure section.

• A procedure must have sufficient detail to allow a determination of exactly what was done, the material used, and inspections required.

• The training and experience of your team should be taken into account when writing this section. Use CAUTION and NOTE to provide key information about the step.

• CAUTIONS are used prior to steps that have potential for personnel injury or equipment damage, such as a step that requires handling hazardous materials.

• Notes provide key information, such as steps that must be completed in a timely manner or may be performed simultaneously. Also, NOTES should be included for critical verification points, such as torque requirements or critical measures.

• You should be outlining the steps required to complete the work. You do not need to technically describe the steps unless you feel it is necessary to do so. Remember that the procedure can be edited to add or removed details at any time. Feedback from the maintenance team should be sued to fine tune maintenance procedures over time.

• For example, if a cover needs to be removed, you do not need to say "Remove the cover by loosening the bolts and lifting the cover off", "Remove the cover" is probably adequate. But if the cover tends to stick, you may want to add "If the cover does not easily lift off when the bolts are removed, gently shake or pry the cover loose."

• Owner's manuals and other technical documents should be referenced when writing the procedure. Photos and video should also be used when appropriate to provide additional detail for complex and confusing steps.

Inspection Checks can be used for critical points in the maintenance. If FAIL is selected, a work order will be created by MaintainX to address the failure.

You can add Picture/File Fields that allow the worker to take pictures or video of the equipment.

Meter Reading fields are used to input and track important meters and any maintenance that may be meter based. You can search for the specific meter below to add it to the PM, or if it is left blank by the Planner, the worker will select the meter when performing the maintenance.

The information in this checklist is only required when the test and inspection is going to be completed by the maintenance team.

• Include all tests and inspections that are required to confirm that the work was completed correctly. The details of how to perform each test and the criteria for a successful test must be part of this section, such as "no leakage found when operating at normal pressure for 5 minutes."

• The scope of the work must be taken into account when determining the proper retest. Each piece of equipment and component worked on should be tested and inspected when the work is complete. Multiple retests may, and likely should, be completed at the same time when starting up equipment for the first time following maintenance.

• Each test should have a signature line for the worker to certify that the test was completed properly. This can be added in Maintain X as a field.
