  • Initiate Work Requests or Work Orders in MaintainX when Samsara detects fault codes, including relevant asset and location context from the vehicle.
  • Generate a Work Order when a vehicle enters or exits a defined geofence boundary, enabling location-based maintenance workflows.
  • When a Work Order in MaintainX is marked as DONE, the linked Samsara DVIR is automatically resolved and closed, ensuring cross-platform sync.
  • Continuously update vehicle location using Samsara GPS feeds, visible in MaintainX via Google Maps links or Samsara Live Share.
  • Push mileage and engine hours from Samsara into MaintainX Meters to trigger PMs based on actual usage.

Note: Meter-based syncing and scheduling require MaintainX’s Enterprise Plan.

How it works

STEP 1:

Connect with your MaintainX account representative to review your maintenance goals and integration needs—covering DVIR workflows, fault code handling, geofence-based triggers, runtime meter syncing, and GPS tracking.

STEP 2:

Identify your key stakeholders, typically from Operations, Fleet, and IT, who will participate in defining workflows, testing integration logic, and validating asset mapping.

STEP 3:

A MaintainX integration consultant will scope the project and provide a formal cost estimate and statement of work.

If approved, MaintainX will configure:

  • Custom fields for asset and location mapping
  • API credentials and tokens
  • Data routes for DVIRs, fault codes, GPS, geofences, and meter readings

STEP 4:

Review the integration with your team. Prepare internal SOPs and training resources for rollout.

STEP 5:

Go live with a fully connected Samsara + MaintainX environment—enabling preventive actions that prevent unplanned downtime and reduce manual work.

FAQs

Can we review/assess the work requests that are triggered by the Samsara integration?

Yes, you can review and approve or decline the work request in MaintainX. If approved, you can assign it to a team or a specific technician and monitor the progress from start to finish.

Does data sync in real time between Samsara and MaintainX?

Samsara DVIRs, fault codes, GPS location, and geofence activity sync with MaintainX in real time. Engine hours and odometer readings will sync daily.

Are DVIR photos submitted in Samsara included in MaintainX?

Any images attached to Samsara DVIRs are included in the linked MaintainX Work Request or Work Order.

Will the MaintainX work request or work order be routed to the correct Samsara asset or location?

Yes, your MaintainX integration consultant will assist you with mapping to the correct asset or location.

What triggers a Work Request or Work Order in MaintainX from Samsara?

Work can be automatically generated from Driver Vehicle Inspection Reports (DVIRs), geofence entry/exit events, fault codes, mileage thresholds, and engine hours sent from Samsara.

Will closing a Work Order in MaintainX resolve the Samsara DVIR?

When the linked Work Order is closed in MaintainX, the associated Samsara DVIR will also be closed automatically.

Is there documentation I can share with my team about the Samsara integration?

The Samsara Integration (DVIR) documentation in the MaintainX Help Center includes setup and configuration steps.
