February was a huge month at MaintainX, as we rolled out major innovations to help customers work smarter and faster.
The highlight was the release of MaintainX CoPilot—an AI assistant that uses your OEM manuals and work order history to serve vital knowledge instantly in the field.
We also added new scheduling options for work orders and data exports, and improved notifications for requesters.
And—as if that wasn’t enough—a prolific month of updates also included improvements to Workflow Automations, Global Procedures, and an integration with AutoCrib.
Let’s dive in and see what’s new in MaintainX.
Meet MaintainX CoPilot
Preserving institutional knowledge, and making it easy for technicians to access, is a challenge we hear often from our customers.
To solve this, you now have MaintainX CoPilot.
This AI assistant quickly generates standardized work orders and procedures from your OEM manuals and work order history, helping your entire team be more productive.
It brings critical information to a technician’s fingertips that would otherwise be buried in a manual or archived work order—allowing them to get machines back online faster.

Schedule and keep track of work more easily
New customizations now make it easier to schedule work orders, share data-driven insights, and track the progress of work requests.
Repeating work orders can be scheduled based on specific weekdays throughout the month, such as the first Monday or the last Friday.
And you can specify the time of day and start date for scheduled data exports to be sent to stakeholders by email.
Requesters can also now receive email and push notifications for new comments, mentions, or when a status changes on their requests. This helps to improve communication and responsiveness, and minimize back-and-forth between requesters and maintenance teams.
Customize role permissions to fit your needs
When you’re managing teams with different responsibilities, it helps to have control and flexibility over their access to data and features.
Custom Roles lets you tailor each user’s permissions to their specific role, ensuring they have all the information and functionality they need, and none that they don’t.

Other enhancements to help you work more efficiently
Some of the other new and improved functionality from the past month includes:
- AutoCrib Integration. AutoCrib customers can now sync AutoCrib with MaintainX to automate inventory management, track consumed parts, and optimize maintenance for greater efficiency. Learn more in our Integrations Marketplace.
- Workflow Automations. You can now set an initial trigger value for the Increased By and Decreased By triggers in Automations. This allows users to specify the exact value of the first trigger for an automation. You can also enable multiple actions in a single automation.
- Global Procedures. You can now create new Global Procedures that reference other Global Procedures nested within them, and publish these to your local or sub MaintainX organizations. Local procedures that contain nested procedures can also now be imported and converted to Global Procedures.
